We’ve all been there: seven browser tabs open, a half-written email staring us down, and a smartphone buzzing with a “quick” notification—all while we’re supposedly “locked in” on a high-priority project. We call this multitasking, and we wear it like a badge of modern productivity.
But here’s the cold, hard truth: your brain isn’t a supercomputer capable of running parallel programs; it’s more like a spotlight that can only illuminate one thing at a time. Every time you “flicker” that light between tasks, you aren’t gaining speed—you’re losing power. In this post, we’re going to dismantle the multitasking myth and look at why the secret to getting more done isn’t doing more at once, but mastering the art of doing one thing at a time.

Everyday Faces of the Multitasking Illusion
At Work
You start your career in a multinational corporation. Two to three years into the workplace you get your annual performance review. You are told to work on and improve your multitasking capability. This means the ability to handle multiple activities—not necessarily related to the same area—in parallel. Each activity needs to make progress on a weekly basis. You sit down, give it a thought, and make a plan splitting your calendar between the activities.
Within a week, you realize the plan is not working. New, unplanned feature requests come in; bugs reported by customers from an earlier product release need your immediate attention; unplanned status meetings appear on your calendar. The release gets delayed and you are pulled into war-room mode for a week or two. Rather than balancing activities, you are juggling them. Focus is lost. You float from one activity to another without being able to go deep. You only address what is required at the time to resolve the situation.
You keep multiple windows open on your computer—emails, chat, bug database, source code, debugger. Pop-up notifications keep interrupting you. You pat yourself on the back for being a busy and active person like a CEO. If you continue in this mode of work for a few years, you lose your technical depth and find out you don’t have the discipline and focus to pick up new skills. Everything remains at the surface level. Scratch the surface, there is little depth beneath.
At School
Tom finished his 10th grade and joined the higher secondary. His parents got him a smartphone since he had to shuttle between school, coaching centres, and music lessons, and he has to take online classes and be part of WhatsApp groups. The smartphone opened a new world for Tom. Before he realized it, chats, Instagram, reels, browsing, Facebook and Reddit discussions took control of his time. He has to check his phone frequently for any likes and updates. Every notification beep has to be checked. With interruptions, online classes become ineffective. Thanks to reels and shorts, he can’t focus on anything beyond ten minutes now. Books and long reads are a big no-no. Tom skipped music classes because he can’t handle the long practice hours. At school, his grades took a hit—some topics simply cannot be meaningfully explained and understood in ten to fifteen minutes—derivatives and integration or Maxwell’s equations.
With Friends
Imagine a coffee place. A few friends get together to chat and catch up over coffee. They are meeting after a few years. One by one, they drop by, take seats around the table. They place their orders. The initial talk is about work and families. Then it goes on to office politics. One person gets a call, he apologizes—important business call—and goes out to take the call. As time progresses, notifications and calls keep interrupting their conversation. In a one-hour meeting, they would have spent only thirty to forty minutes in real conversation. No one realized that they are not even able to allocate uninterrupted time for their friends. Maybe they felt happy that they impressed each other with how busy they are because of their multitasking.
I can keep going with multitasking scenarios that take a toll on day-to-day activities.
- Meetings in a work environment where stakeholders attend the meeting with their laptops open. A lack of complete attention and involvement leads to reopening closed issues and revisiting decisions that were already made.
- You attend a music concert and can’t recollect the order of the songs and ragas performed.
- You find it hard to move to the next level in learning any new skills—music, language, photography, etc.—because you are not able to put in the practice hours.
Why the Brain Cannot Truly Multitask
What really is multitasking? Is our brain capable of multitasking? For high-focus work, our brains behave more like a single-core processor than a parallel computer. The reason our brain can’t multitask is a “bottleneck” in the prefrontal cortex. The prefrontal cortex manages executive functions like planning and abstract thinking. It acts like a one-way bridge; it can only process one “thought” at a time. Try this exercise:
- If I give you two simple two-digit numbers to add while you walk, you will do it easily. If I make those numbers four digits, you may still do it but may have to slow down. If I change the operation to division or multiplication of two three-digit numbers, you have to stop, sit down, and do the math.
- You can drive and talk. But when traffic gets heavy or you’re lost, you immediately have to stop the talking or turn down the radio.
- You can chop carrots and sing along to a familiar song at the same time. Can you chop vegetables and learn a new composition at the same time?
When Doing Two Things at Once Actually Works
Our brain can manage multiple streams, though they aren’t multitasking in the way we usually mean:
- You can handle two “automatic” (low cognitive load) tasks—chopping vegetables and chit-chatting at the same time.
- You can do one “automatic” task while doing one “intense” task—such as walking and talking. Walking is handled by the autopilot parts of the brain, leaving the prefrontal cortex free for conversation. But if the easy task, the walk, becomes intense—when you hit a crowded area or a slippery road, the conversation has to stop.
The Illusion of Parallel Work
We wear multitasking as a badge of honour. But can we really handle two highly intense tasks at the same time? Can we actually do it?
- Intense + Intense: You cannot solve a complex math problem while developing code for the project you are working on at the same time. Both compete for the same executive-attention resources.
- Intense + Non-Intense: Possible, but limited. As we saw in the walk and talk example above, if the easy task requires attention, performance on the intense task immediately drops.
But you may say “I handle multiple tasks effectively at work simultaneously”. In reality, you are not doing simultaneous execution (doing two things at once), you are serial-tasking (doing things in sequence). Then your response may be, “yes, I am serial-tasking like an operating system, which time-multiplexes tasks on a CPU, switching between tasks, giving an illusion of parallel execution. I make my brain work like a CPU. What is wrong with that?”
Neither the CPU nor the brain does two things at once. It switches. Every switch comes with a switching cost. In the case of an operating system, it has to save the “current” task’s context details before it switches to the “new” task. When it switches back to the “current” task, context has to be restored to continue. Even though there is an energy cost—power and time—paid by the operating system to switch between tasks, since it is a machine, it doesn’t get tired like us humans. Switching between tasks happens much faster in a CPU than our brains do. CPUs don’t face switching fatigue.
The Hidden Cost of Constant Switching
In an environment that rewards multitasking, the path from high functioning to cognitive decline or burnout often follows this timeline. Most people don’t realize they are being impacted until they hit a wall.
- The Honeymoon Phase: Initially, you feel capable of handling high-priority tasks and interruptions because your brain is burning its reserves to keep up. The adrenaline rush keeps you going. In the first few weeks, you are on a high since you see a rise in your productivity.
- Early Warning Signs: You see the following impacts but you brush it off as “just a busy month.”
- It takes longer to refocus and get into the deep focus zone after the switch. You are debugging a software failure. You get a notification of a new email. You open the email, read, and respond to it. By the time you finish the response, new emails pop up and you spend the next 45 minutes on emails. By the time you switch back to your software debugging, it takes time for you to return to the context from where you left off.
- Data retention goes down as you switch frequently. Visualize short-term memory getting overwritten before it can be moved to long-term memory in the brain. You notice it when you have to repeatedly refer to specifications and data sheets for the same information.
- The probability of errors creeping into your work goes up as the brain struggles to hold multiple streams of information due to simultaneous multitasking.
- You find yourself not having enough time to complete the tasks at hand. This leads to impatience and frustration.
- The Crash: If you don’t correct the work model and environment, the brain demands recovery by slowing down. You feel mentally exhausted by the end of the day with the nagging sense that you “didn’t actually accomplish anything.”
Our brains may look to us as if they function like a CPU but it can’t switch between tasks in a time-multiplexed manner like a CPU. An operating system is a strict and disciplined enforcer. Our brain isn’t. Information retrieval is predictable in an operating system. Our brain takes time to refocus and the duration may vary depending on the complexity of the task, familiarity, and time of day. If you keep switching between windows too quickly, you may never reach a state of deep concentration or what is referred to as “flow”.
Attention Residue: The Mental Cost of Unfinished Tasks
The term “attention residue” was coined by Dr. Sophie Leroy, an organizational psychologist and professor, and later popularized by Cal Newport in his bestselling book Deep Work. Dr. Sophie Leroy’s landmark 2009 study, “Why is it so hard to do my work?”, used structured laboratory experiments to prove that leaving a task unfinished causes the brain to continuously process it in the background, severely damaging performance on subsequent tasks. The brain has a fundamental need for completion, and it will keep “background processing” that unfinished task while you try to work on a new task. Cal Newport explains that checking email or messages—even for just a few seconds—triggers attention residue and reduces your cognitive performance for the next task. Your work quality and focus drop because your mind is split.
We need to multitask both in our personal and professional lives. What is the right way to do it?
True Multitasking Is Seasonal, Not Simultaneous
We need to shift the definition of multitasking from “simultaneous” to “seasonal.” A “season” can vary depending on your career or lifestyle. You must clearly define the parameters of your current macro-focus to prevent other projects from bleeding in. In the context of deep work scheduling, Cal Newport calls this “bimodal” or “rhythmic” philosophy. A season could last two to six months, a week, a month, or a block of days. Choose one primary aggressive goal for the season. All other ongoing responsibilities are strictly downgraded to “maintenance mode”.
If you are writing a book, then a three- to six-month season makes sense—that is your primary goal for that season. In your career, you will have one primary project that runs for six to twelve months along with multiple other supporting activities—customer support for prior releases, organizational and mentoring activities. Supporting activities may need to be looked into on a daily basis in the worst case, while the primary project needs your major focus with weekly progress and monthly milestones.
Similarly, in your personal life, you may need to split your time for the family, friends, learning new skills (carpentry, music, sports, language), regular exercise or workouts, and reading books. Similar to your career, these require daily or weekly plan.
How to Protect Focus: Time Blocks and Batch Processing
Allocate blocks of time for each activity based on complexity, and the time required to complete a reasonable quantum of work.
- Critical activities: For activities that require deep focus, keep the chunk to 1.5 to 2 hours. It will take around fifteen to twenty minutes to get into the context and deep state. Then you get sixty to seventy-five minutes of uninterrupted time to get into the “flow”. Reserve the final 15 minutes to write down the summary of project status and immediate next steps. This signals the brain that planned work is completed. This will ensure you don’t carry the residue to the next activity.
- Batch process: Instead of reading and responding to one email, and jumping back into the presentation you are working on, process fifteen to twenty emails continuously and then switch to the presentation. This gives you the satisfaction of completing a good amount of work and generates far less attention residue.
- Low-impact tasks: When there are multiple small activities, batch them together and act on them in one go. This removes jumping between a small and critical activity multiple times.
- Transition: Between critical activities, plan 5- to 10-minute short breaks to settle down and signal your brain that it’s time to switch gears. Take a walk, look at the trees and the sky to let the previous cognitive residue naturally settle.
- Protect the block: Turn off notifications, put your mobile phone in silent mode and avoid jumping between unrelated tasks within the time block and the batch.
The aim is to minimize switching costs. Every time you jump between unrelated tasks, your brain must reconfigure. Time blocking and batching limits these resets by keeping your work within the same cognitive zone. By staying in one activity for a prolonged period, you avoid the mental fog caused by unfinished business from a previous, unrelated task.

The Real Productivity Advantage Is Focus
Simultaneous multitasking gives the illusion of speed, but over time it weakens attention, depth, memory, patience, and satisfaction. Whether at work, school, or in relationships, it keeps us busy but shallow and fragmented. The answer is not to reject multiple responsibilities, but to stop pretending they can all receive our full attention at the same time. True multitasking is seasonal, deliberate, and protected by clear focus blocks. Great work is not produced by scattered attention, but by protected focus. Depth is becoming rare, and that is exactly why it is becoming valuable.
